Google Calendar Instructions

When BAVC classes get canceled, it hurts your income. So one of the things we are working on is making it easier for our instructors to spread the word about their classes, so we have fewer cancellations and everyone wins. To that end, we have created a public google calendar of all the classes we offer. There are lot of ways you can use this calendar to let people know what you’re teaching and when you’re next teaching it, and that’s what this email is all about. Note that we will be sending you an invite to the classes you teach. This will help you keep track of your classes and customize your calendar. More on that below.

Do you have a website?

If you have a website, it would be great to be able to let people know when your next class is. But since the schedule is always changing, we realize it would be time consuming to have to update your site all the time with your most recent classes. With our new public Google calendar, you can embed the calendar once, and it will automatically show all of our classes forever without you having to do a thing.

How to embed the new public calendar on your website

Wherever you want the calendar to show up in your site, paste this code:

We have it set to show the calendar as a list of classes. This way the titles of the classes are visible. However, if you prefer a monthly calendar you can use this code:

Reminder to Advance Your Professional Development

Remember, you have the ability to take all of our classes for free. But you have a busy life; sometimes it can be tricky to remember to set aside time for professional development. With the new calendar you’ll be able to see at a glance what classes we have coming up. By subscribing to our calendar with your Google/Gmail account, you can switch our calendar on and it will show up right there inside your own calendar. No need to go back and forth to the class list, you can view all class opportunities and see how they overlap with your own schedule. When you don’t want to clutter your calendar with our classes, it’s as simple as one click to to turn it off.

Set automated reminders to promote your classes

Have you ever meant to mention your classes on your favorite social network, only to find out that same day that the class is canceled because not enough people signed up? One way to prevent that is to use the public google calendar to set reminders that you have a class coming up. How far in advance you need that reminder is up to you, and it’s very easy to do with Google calendar.

How to set up a reminder for your next class

Note that the calendar events include the full class description as well as the sign up link, so you don’t have to go digging through the website; it’s all right there in Google Calendar. You will receive an invite for any class you are invited to. This will show up as a duplicate of the public calendar event for that class. This is because the public calendar can’t be edited, and Google wants you to be able to make edits to any event you are invited to. So you will have the public version, which you can share with associates, and the version that exists only in your calendar. The version you can edit will be the same color as your regular calendar associated with you Gmail.

If you aren’t seeing the event listed, it may be because the calendar is turned off. On the left-hand menu, you’ll see a list of calendars. Make sure the checkbox next to the calendar you want to edit is checked. Your calendars are listed first, followed by public calendars you subscribe to. From there, you:

  • Click on the event, then click on the pencil (again, if it doesn’t show the pencil you are viewing the public calendar, and you’ll either need to copy this event to the calendar or find the event that you are invited to on the same day).
  • When you click the pencil, you have the option to make whatever edits you want. About halfway down the page are the notifications, marked with a little bell. The default is ten minutes, but we recommend you set it at least three weeks in advance, so you have time to plan a promo of the class to your personal connections.
  • Choose whether you want to receive the notification by email or via a notification in your cell phone (of course you need to have that Google account linked to your phone for the notification option to be effective).
  • Then choose whether you want the notification to occur in minutes, days, or weeks and the amount of time you want (e.g. 2 days would be the same as 48 hours).
  • Click “Add notification” to add another reminder.
  • Then click save in the top right corner when you’re done.

You can set as many notifications as you’d like! So you might set one for the night of your class as a reminder to get your materials ready, and one for the next morning on your phone, as well as several weeks in advance to remember to promote the class.

Google doesn’t provide the ability to attach text to the notification. Thus you might also want to edit the description or even the Title so you remember why you set that reminder. Remember, this is the version from your personal calendar (not our public calendar) so you can label it however you want. For example, you might add to the description, “Don’t forget to email students the sign up link for that software” or “send email promo to list after first reminder!”

How to Subscribe to our public Google Calendar

The easiest way is to open our calendar in your web browser and click on the button in the bottom right of the calendar that says +Google Calendar. It looks like this: From there the only tricky thing is to make sure you are logged into the correct Google account (top right corner of the calendar page that pops up will show which you are logged into). Click the “Add” button and you’re done.

How to subscribe with other calendar programs

If you don’t have a Google account, you can still subscribe to the calendar by importing it.

Subscribe to Public Calendar with Microsoft Outlook

Copy this code:

Now go to MS Outlook. Access File > Account Settings > Account Settings. On the Internet Calendars tab, click New. From there, you’ll paste the code you just copied above into the box that pops up, and click Add. When you see the Subscription Options window, name the calendar in the Folder Name box. Henceforth, you’ll see any changes to this calendar in your Outlook calendar.

Subscribe and Sync our Public Calendar with an iPhone or iPad

I THINK THE STANDARD SUBSCRIBE BUTTON WORKS? On your iPhone or iPad, open Settings and go to Passwords & Accounts. Tap Add account and choose Google. Enter your email address and then Next. Enter your password. If you don’t have the latest operating system and you use 2-Step Verification, enter an app password instead of your regular password. Tap Next. Emails, contacts, and calendar events will now sync directly with your Google Account. To sync only your calendar, turn off the other services. Open the Calendar app on your iPhone to see your Google Calendar events. To sync with an existing account, tap the account and turn on Calendars.

How to turn off and on the calendar

SCREENSHOT of When you don’t want to see the calendar, just click the checkbox next to it in the left-hand column of calendar.google.com, and it will disappear. It’s under Other Calendars, and depending on how many calendars you have you might have to scroll down a bit to see it, or you may need to click the little arrow next to “Other Calendars.”

What if you only want to show your classes?

If, for whatever reason, you want to subscribe to or embed a Google calendar that only has your classes, you can do that too. It just takes a few extra steps. First, note that we will send you an invite for each class you are scheduled to teach. So you don’t need to hunt them down in the calendar as you can expect to get an email from Google letting you know for each class. To show only your classes, you’ll need to create a new calendar in Google Calendar. You’ll want to do this rather than adding it to your personal Google calendar so you can share the calendar publicly without having to share all your private events. If you plan to embed this calendar on your site, be sure to make the calendar public/shared. Your new calendar will be empty until you add your classes to it. It is easier to tell what you are doing and what you’ve done if you hide all other calendars except our calendar and your new calendar. Click on one of your classes and in the menu that pops up choose “Copy to [the name of your new calendar]”. Set whatever reminders you want for the class or make any changes you want, and save the new event. Repeat this for all your other classes. Unfortunately your new personal calendar won’t be automatically updated every course semester, however this is still much faster than having to manually create each event from scratch.

Tell people about the new calendar

Remember that just like you can subscribe to our google calendar, so can anyone else. If there is someone you know who is working on professional development (such as your current students!) let them know they can subscribe to our calendar. If there is a nonprofit that is aligned with our mission, share our calendar with them. Or perhaps you know of a company that regularly plans corporate development classes. Let them know they can subscribe to our calendar so your classes stay full.
